Inventory Transfers

  1. Get transfer sheets, truck stock sheets, and return to stock sheets from trays by warehouse desk
  2. If the sheet is for a parts transfer
    1. Click on the inventory module in Spire
    2. Click the transfer button near the top of the page
    3. In the inventory transfer window that opens, Reference No field, type the warehouses that the parts is moving from to the warehouse where the part is going, a slash and the customer number for the RMA in the Reference No field. For example, W1 – 16/E240
    4. Set the Source Warehouse in the Warehouse field and the Destination Warehouse in the Warehouse field
    5. In the Source box, change the selection in the Default Transfer UOM to Inventory
    6. In the Parts box, add the part number of the part being transferred
    7. Set the quantity of the part being transferred in the Transfer Qty column
    8. In the Notes Box, type “FOR ‘THE RMA NUMBER’ ‘THE DATE OF THE TRANSFER’ ‘INITIALS OF THE PERSON MAKING THE TRANSFER’. Ex, “FOR R11808 4/26/2022 JRU”
    9. Click the receive button near the top of the page
    10. In the box that opens, click the Inventory Transfer report box if its not checked, and the print button
    11. Staple the report that printed to the Transfer Sheet from the shelf by the warehouse desk
    12. Close the Inventory Transfer window
    13. Open the TRANSFERS MISSED filter
      1. Date of Service (UDF) Last x days 5
      2. Type is one of RMA
      3. Transferred (UDF) is false
    14. Locate the RMA in the TRANSFERS MISSED filter
    15. Open the RMA
    16. Change the Ship Qty for each part to 0 in the Ship Qty column
    17. Save and close the RMA
    18. Reopen the RMA
    19. Change the W1 to the left of each part to the warehouse where the parts were transferred to. Do not change the warehouse for Shipping, Labor, etc. 
    20. Change the ship Qty for each part back to the number shipped before zeroing them out
    21. Click on the User Defined tab, click the Took Parts box in the Department tab
    22. In the Parts Taken by Technician field type the truck number for the transfer, ex T10
    23. Click the Parts Orders tab, and click the Transferred box
    24. Save and close the RMA
    25. Put the stapled Inventory Transferred Report and Transfer Sheet in the folder for the technician which is in the tray by the warehouse desk
  1. If the sheet is for return to stock
    1. Click on the inventory module
    2. Click the transfer button near the top of the page
    3. In the inventory transfer window that opens type the warehouses that the parts is moving from to the warehouse where the part is going, a slash and the customer number for the RMA in the Reference No field. For example, W1 – 16/E240
    4. Set the Source Warehouse in the Warehouse field and the Destination Warehouse in the Warehouse field
    5. In the Source box, change the selection in the Default Transfer UOM to Inventory
    6. In the Parts box, add the part number of the part being transferred
    7. Set the quantity of the part being transferred in the Transfer Qty column
    8. In the Notes Box, type “FOR ‘THE RMA NUMBER’ ‘THE DATE OF THE TRANSFER’ ‘INITIALS OF THE PERSON MAKING THE TRANSFER’. Ex, “FOR R11808 4/26/2022 JRU”
    9. Click the receive button near the top of the page
    10. In the box that opens, click the Inventory Transfer report box if its not checked, and the print button
    11. Staple the report that printed to the original Transfer Sheet from the shelf by the warehouse desk
    12. Put the Stapled reports in the folder for the technician
  2. Jobs to be Rescheduled transfers
    1. Click on the inventory module
    2. Click the transfer button near the top of the page
    3. In the inventory transfer window that opens type the warehouses that the parts is moving from to the warehouse where the part is going, a slash and the customer number for the RMA in the Reference No field. For example, 16 – W1/E240
    4. Set the Source Warehouse in the Warehouse field and the Destination Warehouse in the Warehouse field
    5. In the Source box, change the selection in the Default Transfer UOM to Inventory
    6. In the Parts box, add the part number of the part being transferred
    7. Set the quantity of the part being transferred in the Transfer Qty column
    8. In the Notes Box, type “FOR ‘THE RMA NUMBER’ ‘THE DATE OF THE TRANSFER’ ‘INITIALS OF THE PERSON MAKING THE TRANSFER’. Ex, “FOR R11808 4/26/2022 JRU”
    9. Click the receive button near the top of the page
    10. In the box that opens, click the Inventory Transfer report box if its not checked, and the print button
    11. Staple the report that printed to the original Transfer Sheet from the shelf by the warehouse desk
    12. Open the RMA for the transfer by clicking on the Sales module and searching for the RMA number
    13. Change the Ship Qty for each part to 0 in the Ship Qty column
    14. Save and close
    15. Reopen RMA
    16. Change the warehouse to the left of each part to the warehouse where the parts were transferred to. Change from van warehouse to W1.  Do not change the warehouse for Shipping, Labor, etc. 
    17. Change the ship Qty for each part back to the number shipped before zeroing them out
    18. Click on the User Defined tab, unclick the Took Parts box in the Department tab
    19. Click the drop down for Technician and select “<blank>”
    20. Click the Service Ticket tab and delete the date in the Date of Service field
    21. Click the drop down for Day of Week and select “<blank>”
    22. Click the Parts Ordered tab, and unclick the Transferred box
    23. Click the main tab and change the Phase to SCHEDULED
    24. Click the print icon near the top of the page, and select the CPEC-PARTS NEEDED report and click print
    25. Give the printed report to the Warehouse
    26. Save and close the RMA
    27. Put the stapled Inventory Transferred Report and Transfer Sheet in the folder for the technician which is in the tray by the warehouse desk
